    Certification Coordinator – Program Development & Support

    POSITION PURPOSE

     

    Coordinate and facilitate exam development, deployment (including all related candidate-facing components), and quality assurance processes and related Commission on Certification for Health Informatics and Information (CCHIIM) activities for assigned exams.

    Coordinate and facilitate the: 1) Recertification program; 2)Prior Approval program); 3) Candidate complaints and appeals; 3) Authorization-to-Test (ATT) process for potential candidates; and 4) Communications with the testing vendor regarding all certification department, exam development, candidate-facing, issues, as well as transfer of certification program data/content.

    Assure that supporting components, processes, and ancillary services for all certification programs are synchronized optimally across all certification department products and services, as well as meet or exceed widely-accepted best practices, and also further the CCHIIM and AHIMA missions overall.

    JOB RESPONSIBILITIES

    • Coordinating and facilitating the job analysis, item development and quality assurance processes in a timely fashion for assigned exams with CCHIIM and related committees, as well as external vendor/partner representatives 
    • Coordinating and facilitating the exam construction, development, and deployment process in a timely fashion for assigned exams 
    • Coordinating and facilitating all candidate-facing components of assigned exams, such as:
      • Monitoring department’s e-mails
      • Distributing non-routine inquiries to appropriate supervisor
      • Managing/responding to general queries from potential and current certificants regarding information contained in candidate guide, Recertification guide, eligibility, etc
      • Managing distribution of pass/fail letters and employee notification letters.
      • Processing of lost, missing, or altered certificate issues, and corresponding directly with the certificate vendor, as required 
    • Liaising with CCHIIM and or related committees as assigned 
    • Responding to all general questions and inquiries regarding all current and future certification programs  
    • Assisting and facilitating the resolution of customer service complaints and issues pertaining to the administration of exams pertaining to all current and future certification programs 
    • Coordinating other departmental support functions as needed, including, but not limited to, distributing mail, faxing, telephone coverage, photocopying and word processing, with respect to any assigned exams and/or other related projects  
    • Coordinating and facilitating activities related to the recertification program in collaboration with other department representatives, as required 
    • Coordinating and facilitating all aspects of the Prior Approvals Program, to include, but not limited to:
      • Managing the administration of the Prior Approval database, including ongoing maintenance and optimization.
      • Handling requests and applications; verifying appropriate payment; reviewing applications and determining approval or non-approval status.
      • Monitoring application review and timelines of requests received.
      • Handling notification to organizations as to final determination (Approval/Non-approval).
      • Maintains financial information regarding number of programs and fees for budgetary purposes.
      • Runs reports as requested 
    • Coordinating and facilitating all aspects of Candidate Complaints and Appeals, to include, but not limited to:
      • Monitoring incoming requests.
      • Dissemination of requests to appropriate staff.
      • Proactively managing resolutions and responses.
      • Handling notification to appeal/complaint candidates to final outcome of appeal/complaint.
      • Maintaining documentation of all appeals/complaints and outcomes. 
    • Coordinating and facilitating communications between testing vendor representatives, and current/future partners 
    • Collaborating with other Certification Coordinator on a continuous basis, under direction of Certification Manager, assure that status for all projects under development are compliant with determined timelines

     

    EXPERIENCE REQUIRED

     

    • 3-5 Years of previous administrative assistant/coordinator experience.  Experience in Certification preferred.
    • Typing/word processing and database management skills including the following systems:
    • MS XP knowledge, MS Word, MS Excel, MS Access, MS Outlook
    • 3-5 years of experience dealing with customers via the phone and/or e-mails
    • High level of organizational skills and attention to detail
    • Bachelor’s degree preferred

     

    Chief Executive Office (CEO)

    The American Health Information Management Association (AHIMA), the premier association of health information management (HIM) professionals, has engaged Witt/Kieffer in its search for a new Chief Executive Officer (CEO), to replace the current CEO who has elected to resign effective March 2010.

     

    AHIMA is committed to advancing the HIM profession in an increasingly electronic and global environment through leadership in advocacy, education, certification, and lifelong learning. The HIM field has been and continues to be undergoing transformative change as the practice shifts from paper to electronic health records, and that transformation is going to accelerate greatly in the next five to eight years, particularly with the emphasis on the critical role of health information management (HIM) and health information technology (HIT) to improve patient care quality, reduce health care costs, and ensure widespread access to appropriate levels of care delivery.

     

    The new CEO will be expected to bring an understanding of the HIM/HIT environment to the role, and the ability to partner effectively with key partners and alliances, which has been an on-going priority of the current CEO.  The ideal candidate will be a visionary with a strategic focus, the ability to execute plans successfully, and strong business and financial acumen.  Leadership experience managing a large, complex business enterprise, and working with a volunteer board, diverse constituency, and large professional staff is essential.

     

    An educational background of a master’s level degree is preferred, and AHIMA certification is desirable, as is association management experience.
